Step 1: Download your orders from Etsy
- In Shop Manager, go to Settings → Options and open the Download Data tab.
- Under Orders, choose a month and year (or a whole year) and download the CSV. The file is called something like
EtsySoldOrders2026-10.csvand has one row per order.
The export includes buyers’ names and addresses. You don’t need them for profit tracking, so delete those columns if you share the sheet with anyone.
Step 2: Paste the export into a “Raw” tab
Create a spreadsheet with two tabs, Raw and Profit. In Google Sheets, click cell A1 on Raw and use File → Import → Upload with Replace current sheet. In Excel, open the CSV and copy everything into Raw.
Each month, paste the new export below the old rows (without its header row). The formulas below find columns by their header names, so they keep working even if Etsy reorders its columns.
Step 3: Pull the columns you need
On the Profit tab, type these headers in A1:I1, spelled exactly as in the Etsy export:
Sale Date, Order ID, Number of Items, Order Value, Discount Amount, Shipping, Sales Tax, Order Total, Card Processing Fees
Then put this formula in A2 and copy it across to I2. Each copy reads its own header and pulls that column for every order:
=FILTER(XLOOKUP(A$1, Raw!$A$1:$AZ$1, Raw!$A$2:$AZ$5000),
XLOOKUP("Order ID", Raw!$A$1:$AZ$1, Raw!$A$2:$AZ$5000) <> "")
If a column comes back as #N/A, its header on Profit doesn’t match the export exactly. Check for extra spaces.
Step 4: Add fees and profit
Add these headers in J1:O1 and the formulas in row 2, then copy row 2 down as far as your orders go:
| Column | Header | Formula in row 2 |
|---|---|---|
| J | Transaction fee | =IF(B2="","",ROUND((D2-E2+F2)*0.065,2)) |
| K | Listing fees | =IF(B2="","",C2*0.2) |
| L | Supplies & packaging | type your cost per order |
| M | Shipping label | type what the label cost |
| N | Profit | =IF(B2="","",D2-E2+F2-I2-J2-K2-L2-M2) |
| O | Margin | =IF(B2="","",IFERROR(N2/(D2-E2+F2),"")) |
How the math works, using Etsy’s US fees at the time of writing:
- Transaction fee: 6.5% of what the buyer paid for items and shipping, after discounts.
- Payment processing: taken straight from Etsy’s
Card Processing Feescolumn, so it’s exact. - Listing fee: $0.20 for each item sold, because a sold listing renews automatically.
- Sales tax is left out: Etsy collects it and pays it to the state for you, so it was never your money.
Fees differ by country and change from time to time, so check Etsy’s Fees & Payments Policy and adjust the 0.065 and 0.2 if yours are different.
Step 5: See profit by month
On a third tab, list the first day of each month in column A (for example 10/1/2026) and put this in B2:
=SUMIFS(Profit!N:N, Profit!A:A, ">="&A2, Profit!A:A, "<"&EDATE(A2,1))
Copy it down for a month-by-month profit line, then insert a chart. Swap Profit!N:N for Profit!D:D to see sales next to profit.
What this sheet doesn’t include
- Etsy Ads and Offsite Ads fees, refunds, and currency conversion. These appear on your monthly statement (Finances → Monthly statements), which you can download as a CSV and subtract per month.
- Your time. Add an hours column if you want to see what you earn per hour.
